Clean Out Your Email Files!
Email is a wonderful tool for staying in touch and doing business, but did you know that too many emails in your system can cause your email program to freeze and even crash the computer?
Yes, true to both. While keeping your Inbox clean and up-to-date is challenging enough, at least once a year you should clean out ALL of your email folders. Out of sight, out of mind is the rule of thumb for emails, but your Sent and Deleted files can get huge, with more than 1,000 emails or more. That's trouble brewing for your computer. Too many emails will crash the email program (bye-bye emails) or even the computer.
Here's how to do it:
A. Go through your Inbox and delete all old emails.
B. Then go to your Deleted Items and delete all emails in that folder.
Then it gets a tiny bit trickier. Many people store the emails they send in their Sent Items folder, and even use their Inbox as a To-Do List. What should you do if you want to keep those emails but also not crash your computer?
Easy. Just move them to separate email folders you can create with a click of a mouse.
As the illustration for this story shows, there are separate folders for Sent_2007 and Sent_2008. Plus Your_Folder_1, 2, and 3 (you may name these anything you like when you create them).
You can also have a lot of these folders, one per project, client, etc.
How do you create a folder? In Outlook Express, simply put your mouse on Local Folders and right click it. Then select New Folder, and you've got it.
Then select the emails you'd like to transfer to the folder and drag them across. Easy.
This simple tip, once a year, will ensure your email program works efficiently, will not freeze on you, or crash.
You may also find using "folders" is a great way to organize and handle your email quickly on a daily or weekly basis as well.
Back Up Your Data
Just about everyone agrees the information and files on their computer is valuable.
An overwhelming majority agree the information should be backed up.
